RECORDEASE WEB SEARCH TIPS

  • When searching for document numbers or certificate numbers, you will no longer need additional zeroes before or after the number, as this will yield no results.

  • In the results screen, clicking on the (+) symbol will drop down all document information. You can view images of related documents from this field as well.

  • On the search screen, selecting a document group will give you the ability to search for a specific group of document types.

  • Tax parcel identification numbers are available for searching;however, it is recommended to enter additional criteria along with the pin number. Searching only by the pin may not give you the desired result.

  • Unplatted legal searches: Enter the Section/Township/Range. You can enter down to the QQQQ but it is not required.

  • When searching for Section/Township/Range and a Government Lot, enter the Gov. Lot number in the Government Lots field.

  • To search for a platted legal that contains a block of “outlot”, “building”, or “none”, click the dropdown arrow in the blocks field to select the block and enter the specific outlot, building, none letter or number in the lot box.

  • Deed book images can be searched by selecting the book type and entering the book number or letter and page number. Clicking the + allows you to search for multiple books or pages at one time.

  • When searching for names, the % symbol can be used as a wildcard.

  • Name searching tips:

    • The searching names radio button should be set to person. The name will be entered as first name in the “First Name” field and as last name in the “Last Name” field. If results don’t appear correct or complete enter the first name in the “Last Name” field and the last name in the “First Name” field.

    • Banks, cities, companies, and state agencies will be searched for as entities.

    • Trusts will be searched for as entities. Trusts that have the name of a person that has been entered as last, first, middle and then the rest of the trust name should be searched using the wildcard %.

      • Example: %smith%john%trust

    • Trust names like “Smith Family Trust” will be searched as entites and entered like you read them.
